Why do I need to complete Early Years forms in Adobe Reader?

Adobe reader is free for use unlike applications such as Microsoft Word, it also allows users to complete forms offline rather than online forms which require internet access for the duration of completing the form. The forms are in a fixed format so there is no accidental reformatting or discrepancies when used in different versions or across other products. 

Completing these forms in Adobe Reader also allows Early Years to better manage the data received by providers and in completing these forms Harrow Early Years can support Harrow providers with the capture of much needed data to support and sustain the services, it also helps us streamline the services offered through analysis of the data understanding where the needs are greatest. 

How do I know if I am opening my document in Adobe Reader?

When you select a form in the Forms section of the Early Years website, the form will request download, save this into your preferred location.
Once downloaded launch Adobe Reader and open the file in the application.  You will know you are using Adobe Reader if at the top of the screen you will see the name of the file followed by ‘Adobe Acrobat Reader’, see below.

Alternatively you can select ‘Help’ on the top menu and ‘About’.  If the product you are using is Adobe the screen will display Adobe Acrobat and revision. See below.

Note:  If you double click to launch the downloaded file on your device, it will open in the default pdf reader on your device, this may not be Adobe Reader so it is important to check.

The process is as follows:

  • Download Adobe Reader on your computer
  • Download the Early Years form to your preferred storage location
  • Open Adobe Reader
  • From the menus in Adobe Reader use ‘File’-‘Open’ and navigate to the place where you downloaded the document and select file and select 'OK'.  When opened in Adobe Reader your file should have full functionality.

The radio buttons and drop downs don't work or when I save my file it is blank, why is this?

The issue is that you are not using Adobe Reader to open and edit your form, rather when you open your form, it is opening in your default PDF reader on your system.  Adobe Reader can be downloaded for free here.

The solution is as follows:

  • Download Adobe Reader on your computer
  • Download the Early Years form to your preferred storage location
  • Open Adobe Reader
  • From the menus in Adobe Reader use ‘File’-‘Open’ and navigate to the place where you downloaded the document and select file and select 'OK'.  When opened in Adobe Reader your file should have full functionality.

There are quick keys to do this, navigate to file, right click (or ctrl+right click), ‘open with’, choose Adobe Reader.

You can check that you are using Adobe Reader by selecting 'Help' - 'About' in the Adobe Reader application.

What is Egress and why do I have to use it to send email?

Egress is a secure online email solution which is used across Harrow Council.  We have adopted this as a preferred solution for sending family information securely, which supports our roles as processors and controllers of information as we comply with the requirements outlined in the Data Protection Act 1998 and the General Data Protection Regulation (GDPR - May 2018).  Some of the key benefits of Egress are that:

  • Emails are encrypted
  • There is a two-step login process to authenticate the user when accessing the emails
  • There are permissions requirements to the sender should the mail be forwarded
